POLICIES AND PROCEDURES

~RESERVATION DEPOSITS~
50% of the total rent is due within 10 days of making your reservation. The rental balance, reservation fee and damage deposit are due 30 days prior to arrival date. A $30.00 bank charge will be assessed on all returned checks. For reservations made within 30 days prior to arrival date, rental payment must be made by Visa, MasterCard or Discover. Damage deposits may be cash, money order or credit card. Personal checks are NOT accepted within 30 days of your arrival date. Name on credit card needs to be the same as person making reservation. Rental amount does not include reservation fee.

~FINAL PAYMENT~
Please mark your calendar. Final payment is due 30 days prior to your arrival. If final payment is not received by the specified date, the reservation may be cancelled and the advance deposit forfeited if the property is not re-rented.

~HOLIDAY~
Holiday rates will apply to the time between Christmas and New Years; Martin Luther King and President’s Weekends.

~OCCUPANCY~
Each unit is privately owned and maximum occupancy is determined by the homeowner. Occupancy includes children over the age of two. Exceeding occupancy is grounds for eviction with no refund and loss of damage deposit.

~CANCELLATION OR DATE CHANGES~
Cancellations must be made at least 30 days prior to arrival in order to retrieve your initial deposit less $50.00. Cancellations made within 30 days prior to arrival date will result in forfeiture of total payment. When changing dates or units the cancellation policy applies. Please note: Timberline Four Seasons Realty offers travel insurance. This insurance, provided by CSA, Inc. covers certain unexpected illnesses, injuries and unforeseen events. Insurance coverage is optional and must be paid for at least 30 days in advance. Ask your rental agent for more information. Insurance fees will not be refunded at check-in.

~CHECK-IN~
Check-in time is 3:00 PM. Our housekeeping, maintenance and hot tub staff work very hard to ensure that properties are prepared for your arrival. Please do not enter rental units or hot tubs until you have been formally checked in. Please do not ask to enter homes that are not ready for check-in to put groceries in the refrigerator or to change clothes. There are rare occasions when it is necessary to delay the release of keys because of maintenance issues, etc. Please note that we make every effort to avoid those instances and refunds will not be given should a delayed check-in be necessary.

~PET POLICY~
Pets are not allowed in units unless otherwise noted by the pet symbol. An additional fee will be charged for vacationing with your house broken dogs. Please, no cats or other animals. Having a pet in a non-pet property will result in eviction with the loss of rent and damage deposit.

~WINTER~
Routine plowing of roads and driveways is done during snowfall but icy and drifting conditions may persist. Snow tires, chains, and 4-wheel drive vehicles are a must for winter travel in the mountains. Snow removal of walkways, steps and decks is not provided by the rental agent.

~KEYS~
Two sets of keys will be given to you at check-in. Please return these to our office at check-out. Keys not returned to our office will result in $25.00 being charged to your damage deposit.

~LATE ARRIVALS~
Late arrivals need to make prior arrangements with our office staff. It will necessary for you to come in the next day by noon to register and sign paperwork.

~CHECK-OUT~
Check-out is 10:00 AM. No exceptions.

~DAMAGE DEPOSIT~
A refundable damage deposit is due 30 days prior to occupying any unit. Deposits are returned within 2 weeks of departure, less any damages from neglect and abuse. Note: renters are liable for damages in excess of the deposit. Person signing contract is responsible for informing his/her party concerning rules and procedures. If the home is left excessively dirty and/or the hot tub/Jacuzzi is left in a condition that requires the hot tub/Jacuzzi to be drained or sterilized you will forfeit all of your damage deposit.

~TRANSFER POLICY~
Should you be unhappy with your selected unit for whatever reason or wish to change due to size or location, a penalty of the advance deposit is required. The Agent reserves the right to relocate you if unforeseen circumstances preclude your occupancy.

~RATES~
Rates are for three (3) night minimum. When booking in advance, rates may not be set. Winter rates are set by July 1 and new confirmations will be mailed. Summer rates will be set by December 1.

~CONSTRUCTION~
Canaan Valley is constantly growing and new construction is common. If your rental is near construction, please be tolerant. This is out of our realm of control. Sorry, no refunds available.

~GENERAL INFORMATION~
Each home is individually owned and reflects the taste and style of each owner. Every effort is made to ensure that our descriptions, rates, and amenities are accurate. However, we cannot be held responsible for changes made by owners to furnishings, rates, and equipment or for printing errors. Hot Tubs, TVs, VCRs, DVDs, Grills, etc. are furnished as a courtesy by the owner and are not guaranteed. Our homes are well maintained and clean, but understand that these are unique and intricate homes which, just like you own, experience a wide variety of unexpected breakdowns. We want you to have a wonderful vacation and enjoy yourself, which is why we make every effort to remedy unpleasant situations and correct any problem you might experience in a timely manner. Please notify us promptly if you experience inoperative equipment or other problems. Please understand that emergencies do take precedence. You can expect a courteous and professional staff to help remedy the situation; however refunds will not be issued due to malfunctioning equipment or other guest dissatisfaction. Please keep in mind that due to the remoteness of our location and the inability to obtain replacement parts quickly; immediate servicing of malfunctioning units is not always possible. Owners Timberline 4 Seasons Realty have the right to enter and inspect the property during your occupancy and make repairs to its fixtures, appliances, furnishings, and facilities. 

~EQUIPMENT~
All units are equipped with coffee makers, toasters, pots and pans, dishes, utensils and glassware, linens and towels. There is a starter supply of paper supplies, detergents and trash bags. These products are NOT guaranteed to last your entire visit. BBQ grills are not guaranteed during the winter. Wood for wood burning fireplaces is provided (kindling is not). Wood burning fireplaces need careful attention. To minimize the risk of a house fire, or shattering the glass fireplace doors, please do not build big fires. Hot ashes should be left in the fireplace when you depart.

~GAS FIREPLACES~
Gas logs should not be removed or rearranged under any circumstances.

~HOT TUBS~
Units with hot tubs will be charged an additional $53.00 for up to five nights and $79.50 for six or more nights. (Only the hot tub fee will be refunded if there is a problem with the hot tub).

~RENTAL PERIODS AND RATES~
You may rent for three nights or more, or for a week beginning any day except Sunday. Pre-Season Rates: (Less 25%) 12/06/08 - 12/24/08. Holiday Rates 12/25 - 1/1, 1/16 - 1/19, 2/13 - 2/16. Regular Winter Rates begin 01/02/09. Spring Rates start 03/01/09 – 25% off winter. Summer Rates start Closing Day.
